This diverse and dynamic Client Service Representative (CSR) plays a critical role in the ongoing success and growth of the company/clinics.
The primary job for a CSR at Boston Veterinary Clinic is to exceed our client's expectations for outstanding client service while creating a warm and welcoming impression.
This CSR will be the face of the clinic and be orchestrating the first impression of our clients and patients.
It is important that this role develops credibility and strong relationships with the guests and customers they encounter.
It is critical that they espouse a service mindset at all times in all stages of the day both for customers and employees.
This role is responsible for creating a stellar customer experience and enabling the team to grow and move through the day with a facility they are proud of and with clear expectations of the flow of the day.
The CSR will work and service diverse clients and is caring, friendly, and efficient.
The position is part crowd control, part efficiency expert, and part records manager.
The CSR answers the phones, differentiates between routine and emergency cases, schedules appointments, greets clients, admits and checks out the day's appointments, processes payments and manages financial information, and communicates between clients and other staff.
Verbal and written communication is essential.
The CSR must be able to empathize with clients and remain compassionate and well-mannered if a client becomes emotional or discourteous.

Essential Functions Greet patients and clients as they enter the clinic in a friendly and welcoming way.
Answer and triage calls appropriately while maintaining accurate records in EzyVet PMS.
Maintain a fear-free environment and treat patients, clients and pets with kindness and respect at all times.
Follow OSHA standards and be familiar with Material Safety Data Sheets.
Provide professional and courteous behaviors to clients and co-workers while handling multiple tasks at once with interruptions.
View physical symptoms or medical problems, read medical instruments, and follow handwritten instructions.
Respond and quickly react to frequent auditory signals, warnings, or communication from other staff, animals, or medical equipment.
Make independent decisions, recall many facts and figures from memory, and solve complex problems.
Process monetary transactions, count cash and make change, and process financial reports and statements Explain and be knowledgeable of the service plan and program.
Provide guidance on follow-up and next steps.
Convey information in an accurate and professional way between the doctor and the client when the doctor is unavailable to speak with the client directly.
Monitor the PMS schedule and keep clients informed of expected time to be seen.
Create, update, and EzyVet PMS medical records according to BVC processes and procedures.
Perform opening and closing procedures and complete daily checklists.
Manage the daily schedule and communicate effectively to the appropriate clients and staff members.
Maintain accurate communication records in the EzyVet PMS.
Problem solve Education, Skill, and Experience Required High School diploma or relevant years in the industry and role required Minimum 2-4 years of client service or customer facing roles.
Must be able to read, write legibly, and communicate clearly in English both in person and on the telephone.
Employees must have good oral and written communication skills including the ability to listen, talk, write, type, and otherwise communicate with professionalism and tact.
Proper grammar, spelling, and punctuation are expected.
Basic computer literacy including the ability to type on a computer keyboard, use a computer mouse, and view information on a computer screen is required.
Experience in the animal healthcare industry is a plus.
Ability to communicate effectively with an array of diverse customers and employees.
Must be highly collaborative, respectful and productive working across a wide array of vendors, employees, leadership team, patients and customers.

Work Environment This job operates in an office and clinic environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
On occasion, the job will require to work around facilities to ensure upkeep, inside and outside.
Physical Demands This is somewhat sedentary outside of travel in a clinic space.
This would require the ability to sit at a desk, frequent walking, bend or stand as necessary.
Reaching, pulling, twisting and standing and sitting.
